CampusPlugin Digital Solutions Pvt Ltd (“CampusPlugin”, “we”, “us”, “our”) runs CampusPlugin, a placement service for colleges in India. It is used by students whom their college’s placement office invites, by the placement officers themselves, by companies that post jobs to those colleges, and by our own Operations staff. This policy explains what personal data we collect, why, who sees it, how long we keep it, and your rights as a Data Principal under the Digital Personal Data Protection Act 2023 (DPDPA).
How the CampusPlugin placement service uses your data
This section describes the CampusPlugin placement service as your institution runs it: for students invited by their placement office, for the placement office itself, for employers who post jobs to your institution, and for CampusPlugin Operations. Where it differs from the general sections of this policy, this section is the one that applies to the placement service.
Who uses the service
- Students aged 18 or over, invited by their institution’s placement office. There is no public sign-up.
- Placement officers of each institution. CampusPlugin Operations creates their accounts.
- Employers. CampusPlugin Operations creates each company’s account. An employer sees only its own jobs and the students who apply to them.
- CampusPlugin Operations: our staff, who set up institutions and employers and support the service.
What we collect about students
- Account: your name, email address, and phone number if given.
- Academic record, provided by your institution: roll number, course, specialization, graduation year and CGPA, and your placement officer’s confirmation that you are 18 or over. We do not collect your date of birth.
- Career Profile, which you write: education, skills, experience, projects, interests and career preferences.
- Career Readiness Assessment: your answers, your results in its five sections (interests, work style, quantitative aptitude, logical reasoning and interview readiness) and the readiness level worked out from them.
- Applications: the jobs you apply to, the status history of each application, any offer made to you (salary, joining date and notes) and your response to it. When you accept an offer, your institution’s placement record notes the employer, the salary and your institution.
- Interviews: the date, time and length of an interview an employer schedules with you, its format (in person, video or phone), the place or meeting link, any notes for you, and the reason if it is cancelled.
- Notices and emails: the in-app notices and update emails we send you (section 5 below), and your choice to receive update emails or not.
- Consent records: the version and text of the notice you accepted, refused or withdrew, when you did so, and the IP address and browser used.
- Security records: sign-in and sign-out events, with the IP address and browser used.
The placement service does not collect Aadhaar numbers, biometric, health or bank details, caste or religion, details of parents or guardians, or résumés and other documents.
What we collect about placement officers and employer staff
- Name, work email address, and the institution or company the account belongs to.
- A record of the actions taken with the account, such as inviting students, publishing jobs and changing the status of an application.
Who sees student data
- Your placement office sees your Career Profile, assessment results, readiness level, applications, interviews and placement outcome, and uses them to support you and to report on placements.
- Employers you apply to see your Career Profile for that application: your name, institution, course, specialization, graduation year, CGPA, education, skills, experience, projects, interests, target roles, readiness level, your assessment section results (including work style and interview readiness) and how well you fit the job. They do not see your email address, phone number, roll number or individual assessment answers.
- Other employers see nothing about you. An employer may see how many students at an institution are eligible for its job, as a rounded number and never with names.
- CampusPlugin Operations can access accounts to run and support the service. The companies that host the service and send its emails process data only on our instructions (section 6 below).
We do not sell personal data or use it for advertising.
How jobs are matched
Your eligibility for a job is checked against the criteria the employer set and your placement office approved: minimum CGPA, courses, graduation year and required skills. A fit level is worked out from your skills, interests, career preferences and assessment results, and the job page explains it. These checks follow fixed rules; they do not use AI. People at the employer decide whom to shortlist and whom to make an offer to.
Your consent and how to withdraw it
Before you use the service you are asked to accept the consent notice at the end of this section. You can withdraw your consent at any time from Profile → Privacy → Withdraw consent. After you withdraw, employers you have applied to see only that your application exists, the job, its status and the date you applied, marked ‘Candidate details unavailable’, and you cannot use the service until you accept the notice again. If you withdraw a single application, that employer no longer sees the application at all. Your placement office keeps the information it already holds about you.
Your rights
You can ask for a copy of your data, ask for it to be corrected or deleted, and raise a grievance (section 10 below). You can correct your Career Profile yourself; ask your placement office to correct your academic record. For anything else, contact your placement office or write to privacy@campusplugin.com (see section 13, “Grievance Officer and privacy contact”).
The consent notice (version 2026.10.d2)
This is the notice every student reads and accepts before using the placement service. The version is stored with each consent record.
Your institution has created a CampusPlugin account for you so it can run campus placements. CampusPlugin is only for students aged 18 or over. If you are under 18, do not accept this notice; tell your placement office instead.
What we collect
• Your name, email address and phone number.
• The academic record your institution provides: roll number, course, specialization, graduation year and CGPA.
• Your Career Profile: the education, skills, experience, projects, interests and career preferences you add.
• Your Career Readiness Assessment: your answers, your results in its five sections (interests, work style, quantitative aptitude, logical reasoning and interview readiness) and the readiness level worked out from them.
• Your job applications and their progress, and any offer made to you (salary and joining date) with your response to it.
What we use it for
• Building and keeping your Career Profile.
• Scoring your assessment and showing you suitable roles, your strengths, your skill gaps and what to learn next.
• Showing you the jobs your placement office has published, checking each job's eligibility criteria against your record, and showing how well each job fits you.
• Sending your applications to employers, and keeping you and your placement office informed of their progress.
• Signing you in securely, contacting you about your account, and the placement reporting your institution needs.
Who sees it
• Your placement office sees your Career Profile, assessment results, readiness level, applications and placement outcome.
• When you apply for a job, that employer sees your Career Profile for that application: your name, institution, course, specialization, graduation year, CGPA, education, skills, experience, projects, interests, target roles, readiness level and your assessment section results, including work style and interview readiness, and how well you fit the job. Employers do not see your email address, phone number, roll number or individual answers.
• Employers may see how many students at your institution are eligible for a job, as a rounded number and never with names.
• CampusPlugin staff access your account only to run and support the service. The companies that host the service and send its emails process your data only on our instructions.
We do not use your data for advertising, and we do not sell it.
Withdrawing consent
You can withdraw this consent at any time from Profile → Privacy → Withdraw consent. Employers you have applied to then stop seeing your Career Profile: they see only that your application exists, the job, its status and the date you applied, marked "Candidate details unavailable". If you withdraw a single application, that employer no longer sees the application at all. Your placement office keeps the information it already holds about you. While your consent is withdrawn you cannot use your CampusPlugin account until you accept this notice again.
You can also ask for a copy of your data, ask us to correct or delete it, or raise a grievance, through your placement office or the contacts in our Privacy Policy.
1. Who we are
CampusPlugin acts as a Data Fiduciary for the personal data that students, placement officers and company staff give us when they use the service. For data we process on behalf of a college (for example, the academic record its placement office provides), CampusPlugin acts as a Data Processor under that college’s instructions.
2. Other data we collect
Besides the account data described above, we collect:
- Access requests. If you ask for a college pilot or for employer access, we keep what you send in the form: your name, work email, mobile number if given, your role, and your organisation’s details. We also email it to our team so we can reply.
- Messages to us. If you write to one of our addresses, we keep your email and our reply.
- Server logs. Our web server records each request: your IP address, your browser and the page asked for. Our sign-in service also records each sign-in with the email address used. We use these logs only to run and protect the service.
- Your browser. The cookies and browser storage the site uses are listed in our Cookie Policy. We use no analytics, advertising or social-media trackers.
3. How we use personal data
- To run the placement service: invitations, Career Profiles and the readiness assessment, job eligibility, applications, interviews, offers and the placement record
- To sign you in securely, and to detect and stop misuse of accounts
- To send the emails and in-app notices described in section 5
- To answer your questions, access requests and data requests
- To meet our legal obligations
We do not send marketing emails, and we do not use personal data for advertising.
4. Legal basis for processing (DPDPA sections 6 and 7)
- Consent (section 6): students accept the consent notice before using the service, and can withdraw it at any time (see the section above).
- Legitimate uses (section 7): for placement officers and company staff using the service in their work role, for the security of the service, and to meet legal obligations.
5. Emails and notices we send
Emails about your account and its security (invitations, sign-in and password emails) always come. These update emails depend on your role:
- Students: when an employer shortlists you, moves you to the interview stage, schedules, moves or cancels an interview, makes you an offer, or closes your application; and a reminder about a day before an interview that was set at least a day and a half ahead. Interview emails carry a calendar file for your own calendar. You also see each change in your account.
- Company admins: when a college approves or declines one of your company’s jobs, when a student accepts or declines an offer, and a daily summary of new applications that names no student.
- Placement officers: on Mondays, when the college’s students have interviews that week, an email listing them (day, time, job, company and format), without student names. Officers also get in-app notices about their students’ interviews.
To stop update emails, use the unsubscribe link at the end of any of them. Students can also turn “Email me about updates” off or on in their profile, and company admins on the Company profile page. Placement officers who want them back can write to support@campusplugin.com.
6. Who we share personal data with
- Within the service, as the section above describes: your placement office, employers you apply to, and CampusPlugin Operations.
- Service providers, who process data only on our instructions:
- the hosting company whose data centre in India houses our server;
- Resend, which delivers the emails we send: each email’s address and content pass through it, and it may process them outside India;
- Microsoft 365, which holds our company mailboxes and the emails you send us.
- For legal compliance, in response to a valid order from an Indian court or authority.
We do not sell personal data, use it for advertising, or share it with social-media platforms.
7. Where your data is stored
All personal data is stored on our own server in India. Backups stay on that server, and an encrypted copy is kept on a device controlled by CampusPlugin in India. The emails we send pass through our email provider (section 6).
8. How we protect it
- Every connection to the service uses HTTPS.
- The database keeps each college’s and each company’s data apart (row-level security), and each role sees only what its work needs.
- CampusPlugin Operations staff must sign in with a second step (an authenticator app).
- Actions by staff, including each time Operations looks up an account to give support, are recorded in an audit log that cannot be changed afterwards.
- The database is backed up every night and before each software update, and a test restore checks the newest backup every week.
9. How long we keep it
- Your account and placement data: while your college uses CampusPlugin and your account exists. We have not yet set a fixed period after which inactive accounts are deleted; until we do, we delete an account and its data when you or your college ask (see section 10).
- Audit logs: 7 years (security and DPDPA evidence). They include each time CampusPlugin Operations looks up your account to give support. These lookups are not shown in your account; you can ask about them at privacy@campusplugin.com.
- Emails we send you: our copy of each email, including what it said, is deleted 90 days after it is sent (or after we decide not to send it).
- Backups: the database is backed up every night and before each software update. In normal operation, each backup, including the encrypted copy kept off our server, is deleted within 7 days of being made.
- Server logs: the server’s logs, which record IP addresses (and, for sign-ins, the email address used), are deleted after 180 days. We keep them that long because the CERT-In directions of April 2022 ask companies to keep system logs for 180 days.
- Access requests: while we discuss access with you. Ask privacy@campusplugin.com to delete yours at any time.
10. Your rights as a Data Principal (DPDPA sections 11 to 14)
- Access: ask for a copy of the personal data we hold about you. It comes to your sign-in email address as a file.
- Correction and completion: correct your Career Profile yourself; your placement office corrects your academic record. Ask us about anything else.
- Erasure: ask us to delete your account and personal data. We keep only what we must: the records of your consent and of your request (legal evidence), security and audit records, and records that no longer identify you, such as an application’s status without your details.
- Withdraw consent: students, at any time, as the section above describes.
- Nominate: name another person to exercise these rights if you die or cannot act yourself.
- Grievance: complain to our Grievance Officer (section 13). If you are not satisfied, you can then go to the Data Protection Board of India.
How to ask: write to privacy@campusplugin.com from the email address you sign in with, or ask your placement office. We reply within 30 calendar days.
11. Children’s data (DPDPA section 9)
CampusPlugin is only for students aged 18 or over; the placement office confirms this when it invites a student. If you think someone under 18 has an account, write to privacy@campusplugin.com. We will look into it and close the account if the person is under 18.
12. Personal data breach (DPDPA section 8)
In the event of a personal-data breach, we will notify the Data Protection Board of India within 72 hours of becoming aware. Affected Data Principals will be notified via the email on file with details of: what happened, what data was affected, what we did about it, and what you can do.
13. Grievance Officer and privacy contact
For privacy questions, consent withdrawal and data requests, contact:
- Dilipraj Dongre, Grievance Officer
